A great European destination wedding planner is the difference between a day that unfolds with ease and one where you’re fielding logistics from the other side of the world while trying to enjoy your own engagement.

I photograph weddings across Europe regularly, Italy most of all, but also further afield, and the weddings that feel the most considered, the most alive, are almost always the ones with a planner who genuinely cares about how the day feels for the couple, not just how it runs. Before the list, a few things worth knowing.

Local vendor relationships matter more than most couples realise. A planner who has spent years working with the same florists, caterers, and venue coordinators in a particular region brings access and trust that no amount of research from abroad can replicate. The best venues in Europe often don’t advertise—they’re booked through relationships.

For Australian couples especially, timezone communication is worth asking about directly. You want a planner who is proactive and responsive, not one you have to chase. Multi-day celebrations are also becoming the norm for destination weddings, and not every planner has deep experience designing a welcome dinner, a wedding day, and a farewell brunch as a cohesive experience. Do I need a wedding planner for a destination wedding in Europe?

For most Australian couples, yes. The practical case alone is strong: local vendor networks, legal requirements that vary by country, language differences in supplier communication, and the sheer complexity of coordinating a major event across hemispheres. But beyond logistics, a good planner is the person who holds the creative vision of the day together when you can’t be physically present for venue visits, supplier meetings, and site walkthroughs. Without one, that responsibility falls to you at a time when you already have a lot going on.

How far in advance should I book a European wedding planner?

For peak season in Italy, Spain, and France — roughly May through October — 18 months is a comfortable lead time, and two years isn’t unusual for popular venues. The best planners book quickly because their couples book them again for other events, and word of mouth moves fast in this industry. If your date is already set, start reaching out now rather than waiting until other vendors are confirmed. Your planner will often help you find and confirm the right photographer, florist, and catering team — so they’re the first piece, not the last.

Can I work with a European wedding planner from Australia?

When a photographer and planner genuinely understand each other’s approach, the wedding day runs differently. There’s less negotiation over timing, more trust around creative decisions, and a shared instinct for when to let things unfold.
